Privacy Policy

FollowUps helps you record a conversation, turn it into follow-up tasks, and optionally create Apple Reminders from those tasks. This policy explains what data is sent, who receives it, when it is sent, and how user permission works.

How FollowUps works

• FollowUps records audio only after you explicitly start recording.
• When you stop recording, FollowUps can send recording data to OpenAI for transcription and task extraction.
• The app stores sessions, transcripts, tasks, and recordings locally on your device unless you delete them.
• Apple Reminders are created only when you explicitly choose selected tasks and confirm.

Data we handle

• Audio recordings you choose to capture.
• Transcript and task content generated from that recording.
• Reminder data only when you choose to create Apple Reminders.

Data sent to OpenAI

For AI processing, FollowUps sends:

• Recording audio from the session you just captured.
• Transcript text derived from that session and used to extract tasks and generate a headline.

Who receives data

AI processing data is sent to OpenAI through the OpenAI API. FollowUps does not sell your data and does not use your data for advertising or tracking.

When data is sent

Data is sent only after you take action: you start recording, then stop recording, and enable cloud processing permission in the app.

User permission and control

• Microphone access is requested by iOS before recording.
• Before cloud AI processing is used, FollowUps asks for explicit in-app permission.
• You can turn cloud processing permission on or off at any time in Settings.
• If cloud processing permission is off, AI transcription and task extraction do not run.

How we use data

• To transcribe recorded audio.
• To generate follow-up tasks and a short session headline.
• To let you review, edit, save, and optionally export tasks to Apple Reminders.
• To store sessions locally so you can revisit them later.

Third-party processing

OpenAI processes audio and transcript data so FollowUps can return transcription results and extracted tasks. OpenAI processes this data according to its own policies. You can review OpenAI's privacy information at openai.com/policies/privacy-policy.

Data sharing

Data is shared with OpenAI only to provide transcription and task extraction. Data is shared with Apple Reminders only when you choose to create or update reminders.

Storage and deletion

• Sessions and recordings are stored locally on your device.
• You can delete individual sessions, which also deletes the associated recording.
• You can delete all sessions from within the app.
• You can optionally enable automatic cleanup for older sessions in Settings.

Permissions

• Microphone: required to record audio.
• Reminders: required only if you choose to create Apple Reminders.
• Notifications: optional, used to notify you when processing finishes in the background.

Children's privacy

FollowUps is not directed to children and does not knowingly collect personal data from children.

Changes to this policy

We may update this policy from time to time. Updated versions will be posted at this page.
